IMPORTANT EXPO EXHIBITOR INFORMATION!

Timetable:
7:00 AM: check-in & table assignment/location will be @ the vendor/guest registration table
10:45 AM-All vendors must be completely ready for the event
11:00 AM-4:00 PM: expo
4:00 PM-vendor breakdown.
Expo Etiquette: Day of Event: Do not remain parked in loading area while
decorating or setting up your exhibit space. All vendor exhibits must be completed no later than
15 minutes before the show starts.  Exhibitors must stay for the length of the show and are not
allowed to break down exhibits until after the show has ended.
Expo Details:
6’ Table with white linen tablecloth will be provided, along with two chairs
You will need to bring a 6-12' extension cord and a power strip, if you are planning to use
electricity.
The exhibit tables are placed side by side around the perimeter & the interior of
the room. There is roughly 3’ of space between the exhibit table and the wall behind it
and approximately 2’ between tables on either side. Exhibitors must contain their
exhibit within this space and may not extend out into the aisles or to either side.
Important Show Points:
• Car must be moved to vendor parking area immediately after unloading
• Vendors playing music must have headphones for guests
• Please report to our staff any person seen soliciting without a paid exhibit space
• Breaking down of exhibits are prohibited before the end of the event
• Smile, dress professionally & be pro-active in a politely aggressive manner, & do
not display food or food containers on table
• Creating a visually dynamic exhibit space will attract the guests to speak with you
Table Décor & Free-standing Displays:
You MAY bring a free-standing display. It may not exceed the length of the actual table. If you
have one 6’ table, your display can be 6’ long. If you purchase two 6’ tables, your display can be
12’ long. NOTHING can be attached to the walls. All decorations, lighting, activities, solicitations,
property and/or distributed materials must be contained within exhibit space with no overflow
into the aisles. Music, noise and announcements must be kept at a minimum volume level, and if
deemed too loud, will be requested turned down.
Raffle: There will be a raffle info sheet on your vendor table. If you are planning to give a raffle
prize, please fill out the sheet and bring it to the registration table. The winner MUST bring the
sheet to your table to redeem the prize. DO NOT give anyone a prize unless they hand you the
sheet that you provided!!! You do not need to participate in the raffle. If you are giving more than
one prize, please fill out one sheet per prize. You may get additional forms @ our registration
desk.
Mailing Lists: Only participating exhibitors will receive our bridal/quince girl data
excel spreadsheet that is compiled from the show. The information will be emailed within
one week after the event. Our email lists are exclusive for our participating
vendors only, and we never sell or otherwise distribute our email lists.
Exhibitor Staff: Each exhibitor is permitted as many as 3 people to
work at their table. Vendor’s assistants are not charged an admittance
fee. .
Guest Ticket Supply for Vendors: We can also mail a supply of FREE guest tickets for you to give
directly to your brides & quince girls. Just contact Michelle King, & let her know how many tickets
you need. Your guests can also register FREE on the day of the event @ the guest check-in table.

Exhibitors must bring any questions, or concerns to the attention of any Expo representative for
resolution.

FOOD: Vendors must bring own lunch, snacks & bottled water. Food may only be eaten on the
back patio. PLEASE KEEP THE PATIO CLEAN & TIDY!


NOTE: All vendors & their staff are responsible for all their own personal items & personal health
& safety. Neither venue nor producers will be held responsible for any lost, damaged or stolen
items both on the premises & inside vehicles or for any personal health or safety issues.
Product Sales: You may sell products/services @ the expo.
Advertising Opportunities: If you are not able attend the expo, you may still
receive full benefits by purchasing advertising. Prices vary, depending on which
items you select.
Standard items include:
• Placement of ad on website (please provide ad copy to info@custombridesandquincegirls.com)
• Inclusion in guest brochure
• Copy of guest mailing list within 5 days after event.

LEGAL TERMS AND CONDITIONS
“Custom Brides & Quince Girls” herein referred to as “Coordinator”. Exhibiting tenant
herein referred to as “Ex”, will not transfer or cancel any or all of its rights herein. Ex
will not combine, share or promote any other entity other than as described herein
without written permission by Coordinator. Coordinator warrants its’ authority to use
all materials submitted. Coordinator warrants contractual authority and personally
guarantees compensation per terms above. Coordinator will not be held liable for
errors in materials supplied/ approved by Ex. Coordinator will not be held liable for
reasonable delays from strike, accident, fire or acts of God. Coordinator will not be
held liable for any amount above contract amount for damages from errors or
omissions. Ex shall indemnify, protect, defend and hold harmless Coordinator, its
subsidiaries, affiliates, employees, agents, officers, directors, members, partners,
representatives, and their respective successors and/or assigns against and from
any and all damages (including without limitation diminution in value), losses,
liabilities, obligations, fines, penalties, claims, causes of action, litigation, demands,
deficiencies, interest, defenses, judgments, suits, proceedings, liens, encumbrances,
costs, disbursements, or expenses of any kind, including without limitation,
reasonable attorney’s fees and all amounts paid in defense or settlement of the
foregoing whether or not arising out of third-party claims, know or unknown, foreseen
or unforeseen, contingent or otherwise, which may at any time be imposed upon,
incurred by or asserted or awarded against
such parties or the property or any portion thereof by any other party or parties,
(including any governmental entities), in connection with all claims connected with this
Agreement, the Services provided by Coordinator, the event at which the services are
provided or any related act or failure to act
Refund Policy: Please be advised that there is a no refund policy for any and all
Custom Brides and Quince Girls Expos. Should you not be able to attend an expo for
which you have paid, you may select another expo to be a vendor within the same
calendar year. Notification for rescheduling must be received no later than two weeks
prior to the expo for which you have paid. Any request for rescheduling after that will
not be accepted, and your payment will be forfeited. There are no refunds under any
circumstances. NO EXCEPTIONS
